Professional Conference Organiser (PCO)

Whether you are hosting a local, national or international conference, JC Events understands how important delivering a truly unique and memorable event is for you and your organisation. We share your aims, objectives and vision to create and deliver an exceptional 'one out of the box' experience for all concerned.

Branding and Creative

We will work within your companies branding and marketing guidelines to develop a concept and theme for your event/s. We collaborate with a talented group of copywriters, designers, print companies and production managers to provide meeting materials such as teasers, invitations, program booklets, agendas, newsletters and on-site marketing materials.

Venue Management

One of our professionals will speak to you directly to develop a detailed brief, our aim is to identify queries and request clarification to accurately determine the event scope and important deliverables. We will source appropriate venue/s and conduct site inspections on your behalf, ensuring function space, catering, parking and accommodation is within brief and of the right standard. We will negotiate venue and hotel contracts to ensure the best possible outcomes for you.

Compliance

We will ensure that proposed venue/s are compliant with your companies internal regulations and governing authorities code of conduct.

Registration

Our team will manage local and/or interstate event registrations, data-base responses, record cancellations, wait lists and answer all incoming enquiries. We will dispatch personalised confirmation letters and pre-event reminders to participants on your behalf and will manage the set up and logistics of on-site registration.

Accommodation

We work with your hotel/s of choice to book and manage accommodation for guests, working within company policy constraints and attending to special requests.

Flights and Logistics

Our logistics specialist will liaise with participants to book and confirm domestic and/or international flights with your chosen travel provider. We will dispatch Cabcharge vouchers (record and monitor usage), book and coordinate chauffered transfers and manage participant queries as required whilst in transit.  

Technology

We work with audio visual suppliers to book equipment, technicians, rehearsals and manage production from beginning to end. We collaborate with technical experts who provide audience response systems, keypad responders and data analysis to ensure feedback from your audience is captured accurately.

Reporting and Communication

Our aim is to keep you well informed, you will receive regular progress reports prior to the event/s and post event evaluation, executive summary and financial reconciliation for reporting purposes following the event/s. We will brief and ensure ongoing communication with all stakeholders and third parties.

Event Management

Our event specialists attention to detail will ensure your event/s are an enjoyable and seamless operation from start to finish. They will collaborate with the chosen venue/s to manage set up and layout of the function rooms, confirm food and beverage, accommodation reservations, audio visual production and organise on or off site parking. We will provide on-site event management to allow you to focus on relationships with your customers and VIPs in attendance at the event.
